Booking Terms and conditions 

  1. All bookings must be made via our online booking form. A provisional booking will be held for 2 weeks.

  2. Bookings will only be confirmed once the relevant deposit has been received. Emails will be sent from gaddesdenrowguidecentre@gmail.com - please check your spam folder and save this email address if needed.

  3. Any changes to arrival or check out time must be shared with the bookings team asap.

  4. Girlguiding Residential Event Notifications can be sent to gaddesdenrowguidecentre@gmail.com

  5. Deposits
    For residentials, a non-refundable deposit of 25% of the full booking fee is required.
    For day and evening bookings, a non-refundable deposit of 50% of the full booking fee is required.
    The balance of the fees is required at least 2 weeks prior to the visit.

  6. Cancellation
    In the event of a cancellation the deposit is non-refundable.
    In the event of a cancellation within 3 months of the visit, a further cancellation fee of 25% of the full booking fee will be required.

  7. For any booking cancelled within 2 weeks of the visit the full booking fee will be required.

  8. Gaddesden Row Guide Centre (GRGC) reserves the right to cancel a booking should the need arise. All monies paid to GRGC in respect of the booking will be refunded in full.

  9. All visitors are responsible for their own property whilst on site.

  10. Accidents or injuries must be reported to the facilities team.

  11. Group leaders are responsible for their own first aid provision.

  12. We appreciate that minor accidents can occur, however wilful or major accidental damage must be paid for. All breakages must be reported to the facilities team.

  13. Groups are required to clean the building before leaving the site. A cleaning checklist is available in all buildings. It is the responsibility of the group leader to ensure that cleaning takes place. A member of the management committee will inspect the building before you leave.

  14. Groups must only use the cleaning products provided - no bleach products can be used anywhere on site as these cause problems with the septic tank. Failure to adhere may result in an additional charge.

  15. Groups must bring tea towels, toilet rolls and refuse sacks. All rubbish must be bagged up and placed in the bins situated at the front of the building.

  16. Mattresses are provided but users need to bring all other bedding plus personal wash items and towels.

  17. Outdoor shoes are only allowed in the entrance lobbies. Please use the boot store outside the dorm for muddy boots/wellies. All users must bring indoor shoes.

  18. No dogs (except assistance dogs) may be brought on to site.

  19. Smoking is not permitted inside any building.

  20. Car parking at GRGC is very limited and only for use by on site leaders. Parents can park outside Gaddesden Row JMI School or at White House Farm Business Park and walk down to drop off/collect - you will need to include this in your risk assessment.

  21. Any discrepancies found with the onsite shop must be reported to the facilities team. Failure to do so may result in charges.

  22.  Any breakages or missing items in the onsite activities we offer must be reported. Failure to do so may result in charges.

  23. Fires must only be lit on the metal grid frames provided and in the campfire circle.

  24. Please do not cut or damage any trees, or remove any wood from our fences or Enchanted Woodland. Any wood available for campfires can be found in our wood store. Further wood must be provided by the user.

  25. The onsite play equipment/activities/climbing tree/Enchanted Woodland are to be used at your own discretion - please do your own risk assessment before using.

  26. Do not feed animals in adjoining fields.

  27. In order to help us keep booking costs to a minimum, please be mindful of electric usage. The water boiler/heaters use a lot of energy, please do not leave these on when not needed. Excessive electric usage may result in an additional charge.
